Policies

Welcome to the Worcester State University's Food Service Catering managed by Chartwells. Please familiarize yourself with our policies and menu while browsing through Catertrax. If you should have any difficulties creating an account or placing an order, contact our Catering office during normal business hours at 508-929-8657 or email us at catering@worcester.edu.

Billing Details:

All University functions must be guaranteed by purchase orders. Please contact the Universities Finance Department for details. All non-University functions may be required to pay a 50% deposit at the time of your event booking. All University groups are tax exempt, non-University groups are subject to a 6.25% sales tax. Delinquencies in accounts may result in our not being able to book or service future events.

72 Hours:

So that we have the appropriate time needed to prepare for your event, we require a minimum of 72 hours notice when placing an order. Our normal business hours are 6:00am – 5:00 pm Monday through Friday. Our office is closed on weekends therefore Saturday and Sunday are not considered in the required 72 hour notice policy.

Cancellation:

If in the unfortunate event your scheduled catering must be cancelled, we require a minimum of 48 hours notice. Cancellations made less than 48 hours prior to the event will be assessed a 15% surcharge and any unrecoverable cost incurred while preparing for the event. All cancellations must be done by contacting our catering department directly at 505-929-8657 or catering@worcester.edu.

Leftovers:

Due to the potential liability of food borne illness, any leftover foods will not be allowed to be taken out of the event premises. Health Department regulations will not permit the removal of such food so we ask that you do not request your server to violate health regulations.

Third Party Waiver:

If you wish to bring any foods from off campus to your event, you must first contact our Catering Dept. for approval. In the event that Chartwells is unable to provide those items for your event, a Third Party Waiver is required . The mandatory waiver states that Chartwells will not be held responsible for any potential food borne illness contacted from food that was NOT provided by Chartwells. You must come to the catering office to sign this waiver. We are only able to serve beverages to an event that has a 3rd party caterer and can not provide any food.

Equipment:

Equipment to service your function remains the express property of Chartwells. Please be considerate by not removing any catering equipment prior to permission from our catering office. If any equipment has been moved or made inaccessible to us we require that you contact us and let us know when it will be returned to the Catering Kitchen in the Student Center. The department or individual that ordered the catering will held responsible.
